DiLucci CPA Applicant and Career Site Privacy Policy

DiLucci CPA ("DiLucci CPA," "we," "us," or "our") manages recruitment through our career site (the "Career Site") and a related applicant tracking system. This policy explains what personal information we collect, how we use and share it, how long we keep it, and what choices you have.
It applies to you if you:
Visit our Career Site (a "Visitor");
Connect with us through the Career Site to create a profile or receive updates about vacancies (a "Connecting Candidate");
Apply for a position with us, through the Career Site or a third-party service (an "Applying Candidate");
Are sourced by us from other websites or services because your profile may fit a current or future vacancy (a "Sourced Candidate");
Are referred to us by an employee or partner (a "Referred Candidate"); or
Are listed by a candidate as a reference (a "Reference").
"Candidate" means any Connecting, Applying, Sourced, or Referred Candidate.
This policy does not cover how we handle information about our clients or our current and former employees, which are addressed in separate notices.
1. Personal information we collect
From everyone
Contact details: name, email address, phone number, and mailing address.
Communications: the content of emails, messages, survey responses, and other communications with us, and information you add to your account.
Device and usage information (Visitors): basic technical information that our systems record automatically when you visit the Career Site, such as IP address, browser type and version, operating system, language, approximate location, and the pages you request.
From Candidates
Application materials: résumé or CV, cover letter, work samples, education, certifications and licenses (for example, CPA licensure status), employment history, and references.
Recruitment process information: interview notes, assessment results, and salary expectations.
Public profile information: professional information from public sources such as LinkedIn or your current employer's website.
Referral and reference information: information provided by the employee or partner who referred you, or by the references you list.
Interview recordings: audio or video, only if you agree to a recorded interview (see Section 5).
Voluntary demographic information: if you choose to provide it (for example, on an equal employment opportunity self-identification form). Providing it is optional and does not affect our hiring decisions.
From References
Your contact details and the information you give us about the candidate.
Information we do not need from you at the application stage: Social Security numbers, financial account information, and government ID numbers. Please do not include them in your application. If we later extend an offer, we may collect certain information needed for a background check or onboarding, and we will give you a separate notice and, where required, obtain your authorization.
2. Where we get your information
Directly from you when you visit the Career Site, apply, or communicate with us. You can choose not to provide certain information, but some information is necessary for us to consider your application.
Automatically from your device when you use the Career Site.
From public sources, such as professional networking sites.
From referrers, such as our employees or recruiting partners.
From your references, if you list them.
From us, when we create notes and assessments during the recruitment process.
3. How we use your information
We use personal information to:
Operate, secure, maintain, and improve the Career Site;
Review profiles and applications, evaluate qualifications, and communicate with you about your application;
Identify and contact potential candidates, including about current or future openings;
Send you updates about vacancies, if you connect with us;
Conduct interviews and assessments, including recorded interviews where you have agreed;
Contact references and evaluate the information they provide;
Invite you to take part in surveys about our recruiting process;
Comply with legal obligations (including equal employment opportunity, recordkeeping, and reporting requirements); and
Establish, exercise, or defend legal claims, and protect the rights, property, and safety of DiLucci CPA and others.
We also use automated tools to help review applications, as described in Section 6.
4. How we share your information
We do not sell your personal information.
We disclose personal information to:
Service providers that support our recruiting, such as the provider of our Career Site and applicant tracking system, background check and assessment vendors, and recruiting partners. They may use your information only to provide services to us.
Affiliated entities that provide systems or services for our recruiting.
Government authorities and other parties, when required by law or legal process, or when needed to establish, exercise, or defend legal claims (for example, in response to a discrimination charge).
Parties to a business transaction, such as a merger, acquisition, financing, or sale of assets.
5. Recorded interviews
We will record an interview only after telling you in advance and obtaining your consent. You may decline a recording without any effect on your candidacy.
6. Use of artificial intelligence and automated tools
Notice. We use an automated feature in our applicant tracking system to rank applications and help us decide which to review first. This feature uses artificial intelligence or similar automated technology. We tell you about it in this policy, which is available on our Career Site before you apply.
About the tool.
Product and vendor: Teamtailor, provided by Teamtailor AB.
Employment decisions it influences: recruitment and hiring. It helps us organize and prioritize applications for review. It does not make hiring decisions.
Purpose: to rank applications based on how closely they match the qualifications and characteristics we list for the role, such as skills, experience, education, and certification/license(s).
Types of positions: all positions.
Information it uses: information in your application, such as your résumé, cover letter, work history, education, certifications, and answers to application questions. It does not use voluntary demographic information from equal employment opportunity forms.
What it produces: a ranking or score for each application.
People make the decisions. Members of our team review applications and make all hiring decisions. We do not make hiring decisions solely through automated means, and we do not reject applicants automatically based on a ranking.
Your options. You may contact us using the details in Section 14 to request a reasonable accommodation or an alternative way to be considered for a position, to ask questions about how we use automated tools, or to ask us to correct inaccurate information in your application or profile. Where feasible, we will also consider requests to have a person review your application. We will not retaliate against you for making a request.
What we do not do. We do not use automated tools to analyze video interviews, facial expressions, voice, or emotions, and we do not collect biometric identifiers such as facial geometry or voiceprints. We do not use ZIP codes or similar information as a substitute for protected characteristics.
Fairness. We do not use automated tools to discriminate against applicants on the basis of race, color, religion, sex, national origin, age, disability, or any other characteristic protected by law.
Records. We keep records of our use of automated tools, including notices and results, as described in Section 8.
Additional notices. Some states and cities require additional notice or provide additional rights when automated tools are used in hiring. We will provide any additional notices required by the laws where the position is located.
7. Background checks
If we extend a conditional offer and run a background check, we will give you a separate written disclosure and obtain your authorization as required by the Fair Credit Reporting Act and applicable state and local laws. That process is governed by those notices.

To ask us to delete your information, contact us using the details in Section 14. We may keep information we are required or permitted by law to keep, for example to meet recordkeeping requirements or to defend legal claims. If we hire you, we will keep your information as part of your personnel file under our employee privacy notice.
9. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information. No system is completely secure, and we cannot guarantee absolute security.
10. Children
Our Career Site and recruiting are intended for individuals 18 and older. We do not knowingly collect information from anyone under 18.
11. Cookies and tracking technologies
We do not use cookies, pixels, or similar tracking technologies on the Career Site to track you across websites or to show you advertising.
Our systems automatically log basic technical information, such as IP address, browser type, and pages requested, so we can keep the Career Site secure and working properly.
12. Your choices
You may contact us using the details in Section 14 to ask what personal information we hold about you, to correct inaccurate information, or to delete your information. We will respond in accordance with applicable law.
13. Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top shows when it was most recently revised. If we make material changes, we will post a notice on the Career Site.
